Parsa Wellness Clinic, a premier luxury wellness destination in North Vancouver, is seeking a dedicated and detail-oriented Medical Office Assistant (MOA) to join our team.
In this role, you will be the backbone of our clinic operations, ensuring seamless patient experiences and supporting our practitioners in delivering exceptional care. About the Role
Greet and check in clients, delivering a warm, professional, and luxury-level patient experience.
Manage patient scheduling, appointments, and follow-ups using Telus EMR & CHR.
Handle phone calls, emails, and inquiries regarding services, policies, and clinic procedures.
Maintain and update patient records with accuracy, ensuring confidentiality and compliance with privacy regulations.
Assist practitioners with administrative tasks, including intake forms, consent forms, and documentation.
Follow up with potential clients from various channels (social media, phone, website inquiries, events) to answer questions and book consultations or treatments.
Process payments, invoices, and insurance claims efficiently and accurately.
Ensure the front desk, reception area, and clinic environment are clean, organized, and welcoming.
Coordinate patient flow and optimize scheduling to maximize clinic efficiency.
Support clinic marketing efforts, promotions, and patient communication initiatives.
Uphold compliance with clinic policies, privacy regulations (PIPA/PHIA), and industry standards.
Requirements
Previous experience as a Medical Office Assistant (MOA) or in a healthcare setting is required.
Proficiency in using Electronic Medical Record (EMR) or Clinic Health Record (CHR) systems; familiarity with Telus EMR & CHR is a bonus (training provided).
Strong communication and interpersonal skills, with a focus on delivering exceptional patient service.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and general computer skills.
Ability to multitask, prioritize, and stay organized in a fast-paced, dynamic environment.
Knowledge of medical terminology and clinic operations.
Experience with payment processing and insurance billing is an asset.
High level of professionalism, discretion, and commitment to maintaining patient confidentiality.
Fluency in English is required; additional languages are an asset.
